We are looking for a highly skilled Document Controller responsible for managing records and document control activities within our company. The ideal candidate will be proficient in creating, using, and managing a Document Numbering System specific to engineering and construction documents. They will effectively interact with both internal and external stakeholders and support the project team by managing and coordinating project documents and records.

Responsibilities:

  • Manage records and document control activities.
  • Create, use, and handle a Document Numbering System for engineering and construction documents.
  • Identify and interact with internal and external stakeholders regarding document control and record management.
  • Support proposal preparation with exposure to various contracting methodologies.
  • Maintain relationships with other functions related to Document Controls.
  • Facilitate the preparation of information for progress measurement.
  • Understand the design and construction management relationship to Document Controls responsibility.
  • Perform daily tasks as assigned by the Document Control Manager.
  • Ensure compliance with project QA/QC standards.
  • Support the Project Team in managing existing and project-generated documents and reports, ensuring proper handover/turnover.
  • Utilize documentation systems across various platforms.
  • Use EDMS to manage coordination, interface, and interactions with internal disciplines, external teams, and third parties.
  • Produce regular effective action items for program leadership with weekly and monthly updates.
  • Use Adobe Creative Suite or similar software to assist in developing and packaging various document deliverables, including proposals and qualifications.
  • Implement and improve Document and Record Management Systems and Document Control Processes.
  • Train staff on the Project Documentation System usage and access.
  • Maintain confidentiality of sensitive documentation and understand the Project Information Dispensation Protocol.
  • Ensure end-users have the latest revision of Project Documentation and maintain the document Audit & Change Trail.

Qualifications:

  • Bachelor’s degree in Commerce or Business Administration.
  • 2+ years of experience in managing EPC projects in a fast-paced environment, with PMC experience being desirable.
  • Strong experience with ACONEX, Microsoft Office 365 SharePoint, Word, Excel, Outlook, and PowerPoint.
  • Highly motivated and capable of functioning well in a fast-paced environment.
  • Excellent interpersonal, organizational, and communication skills.
  • Strong attention to detail and ability to deliver accurate documentation and task completion.
  • Hands-on experience managing multiple tasks, changing demands, and meeting deadlines.
  • Working knowledge of company organizational structures, terminology, policies, and procedures.
